A. Terms of Service – Visa Consultation & Application Support

1. Scope of Services

Henao Legal provides professional immigration advisory services in relation to Colombian visas. These services may include consultations, document review, application preparation guidance, submission support, and administrative assistance. Henao Legal does not act as Colombian immigration authorities and does not control or influence visa decisions made by government bodies.


2. Fees and Payments

All service fees paid to Henao Legal are non-refundable. Fees cover professional time, legal consultation, document preparation or review, strategic guidance, and administrative work. Payment confirms your intention to proceed with the service and reserves professional capacity.


3. Government Fees

Colombian government fees, currently USD $55 and USD $255 and subject to change, are imposed directly by Colombian authorities. These fees are non-refundable regardless of the outcome of the visa application. Henao Legal is not responsible for changes to official fees, processing times, or government requirements.


4. Visa Outcomes

Visa approval is never guaranteed. All visa decisions are made solely by Colombian immigration authorities. No refunds are provided if an application is denied or delayed. Henao Legal’s role is to maximise the chances of approval through accurate preparation, professional guidance, and strategic positioning based on the information provided by the client.


5. Client Responsibilities

Clients are responsible for providing complete, accurate, and truthful information at all times. All required documents must be submitted promptly and in the format requested. Where applicable, clients are responsible for obtaining apostilles, official translations, or other certifications. Clients must respond to requests for clarification or additional information within reasonable timeframes and ensure that all information supplied remains accurate and up to date. Henao Legal is not responsible for delays or negative outcomes caused by incomplete, inaccurate, or late submissions.


6. Service Timeline and Completion

After payment is received, clients must provide all required documents within a period of three months. If the requested documents are not provided within this timeframe, the service will be considered completed and no refund will be issued. To restart the process after this period, a new service agreement and full payment will be required. Where documents are submitted on time, Henao Legal will continue providing guidance until Colombian authorities issue a final decision, whether approval or denial. If immigration authorities request additional documentation, clients must provide it within the timeframe specified by those authorities.


7. Limitation of Responsibility

Henao Legal provides professional advice based on the information supplied by the client and the applicable immigration regulations in force at the time. Henao Legal is not responsible for changes in law or policy, decisions made by government authorities, or outcomes affected by incomplete, inaccurate, or misleading information provided by the client.


B. Privacy & Data Protection Notice

8. Data Controller

The data controller is Henao Legal, operating as an independent legal professional. For any questions relating to privacy or the handling of personal data, clients may contact Henao Legal via the website contact form.


9. Personal Data Collected

Personal data may be collected when clients submit enquiries, complete questionnaires, book consultations, communicate by email or other direct means, or request legal or advisory services. Personal data may include names, contact details, nationality, immigration history, and any information voluntarily provided by the client. Personal data is not sold and is not used for unsolicited marketing.


10. Purpose of Data Processing

Personal data is processed solely for legitimate professional purposes, including providing visa consultation and application support, preparing and submitting information via official immigration systems such as SITAC, responding to communications, and meeting legal, regulatory, or professional obligations. No automated decision-making or profiling is carried out.


11. Data Retention and Deletion

Personal data is retained only for as long as necessary to provide the requested services and meet applicable obligations. As a general rule, personal data is securely deleted within thirty days after visa application submission or service completion. Clients may request earlier deletion at any time, subject to legal or professional record-keeping obligations. When personal data is no longer required, it is securely deleted or anonymised using appropriate technical and organisational measures.


12. Cookies and Website Analytics

The website uses cookies to ensure basic functionality and, where consent is given, to analyse anonymised usage data. Essential cookies are required for site operation, while analytics cookies are optional and used only with consent. Third-party services such as embedded content or fonts may receive limited technical data, including IP addresses, as part of normal service delivery.
